Part 1 of 2: Starting Your Trial

1Get lots of people in your organization to try it. You can use Spanning Backup for up to 100 users during your free trial period, and it's recommended that you try it out for as many people as possible in your organization. You can install it just for yourself, but you’d miss out on some of the great features like being able to log in as one of your users or managing your licenses across the organization.

2Prepare for the time of the backup. Your initial backup can take anywhere from a few minutes to a few days, depending on how much data you have to back up; the more people you’re backing up, the longer your initial backup will take. (The rest of your backups won’t take nearly as long.) Luckily, Spanning doesn’t impose any limits on how much data you can back up, so the more the merrier! There are two ways to get your first backup going:
- Wait for Spanning’s daily backup to take place.
- Click the “Back up now” button under your admin account > User tab > Backup Schedule section.

3Look out for the finished backup. You’ll be able to tell when your initial backup is finished because the Restore button will be enabled when you select an item under the Restore tab.
Part 2 of 2: Backing Up the Different Apps

1Start with Google Drive. Spanning backs up all of your different Google Apps, so let's test out each one. First, let's look at Google Drive. Choose a folder in Google Drive (one that has subfolders) and restore it from your most recent backup.

2Try out Gmail backup. Restore all of the email messages that you received in the past week.

3Know that your Google Calendar events are also backed up. Pick a calendar and restore it to how it was a month ago.

4Back up you Google Contacts, too. They can be used as email recipients, calendar event members, etc. Choose a group of contacts and restore that group to how it was 3 months ago.

5Consider backing up your Google Sites, too. Lastly, if you use Google to build any websites through their Google Sites program, these can be backed up and restored as well. Pick a section of Google Sites and restore it to how it was 4 months ago.

6Try it all out. Once you’ve gone through these few steps, you’ll have a great idea of how Spanning Backup works! It's best to try the above process with any other backup solutions you may be considering, and use the checklists above to see how the program stacks up.
