Two Parts:Logging InParticipating in a Virtual Meeting

HP Virtual Rooms are online rooms that allow people to link up and join virtual conferences. These are useful for meetings with people not located in the same area as you. These are also used for brainstorming, team collaboration, training, and presentations- all in a virtual setting. HP Virtual Rooms have associated costs and are usually used by corporations.

Part 1 of 2: Logging In

    Log in. Go to https://www.rooms.hp.com/. Join a meeting as a Participant by typing in your name and participant key.
  2. 2
    Check system requirements. If this is your first time to use the HP Virtual Rooms, it will check your system requirements and download the software that will run the tool on your workstation. Allow a few minutes for the program to install.
    • This is done automatically.

    Familiarize yourself with the virtual room. Once the program has successfully installed, it will launch a window for the virtual room. Get yourself associated with the different options under the menu.

Part 2 of 2: Participating in a Virtual Meeting

    Listen attentively. Even if you’re in a virtual setting, there’s no excuse not to participate in the meeting.

    View the participants. The names of the presenters and the participants are listed on the left panel. See who’s in the meeting by looking at this list.

    Chat with another participant. If you’d like to talk to someone in the meeting in private, right-click on the name of the person and select Private Chat. A chat window will appear where you can have your conversation.
    • You can have multiple chat windows open and running at the same time.

    Chat with the whole group. Click Chat on the top menu to open the room chat, which is visible to the whole group. Type your messages for everybody here. Follow the conversation in this forum.

    Raise your hand. Sometimes, there will be polls asked during the meeting. You may use the Hands Up icon on the top menu to cast your vote. You may also use this to flag the presenter if you have any question.

    Answer Yes or No. If there are questions answerable by yes or no, you may use the Yes and No buttons on the top menu to send your answer.
  7. 7
    Ask a question. If you have a question for the presenters or for the whole group, you can use the Questions button on the top menu. Click on this icon and type your questions for everybody to answer.

    Download your handouts. If there are handouts provided in the meeting, you can download them directly from the Handouts sub-window. Just right-click on the files and download to your computer.
